Volunteer Requirements
Any responsible persons representing youth involved in an extracurricular activity that is associated with a cost are eligible to volunteer.
- All volunteers must have a Tulsa County Food Handler’s permit card. The course can be taken online here: https://tulsa.foodemployeepermit.org/
- You can obtain a free Volunteer’s Food Handler’s Permit card (only good for one year) here: https://tulsa-health.org/forms/food-safety-volunteer-online-training/
- All volunteers 18 and older must have an Oklahoma Alcohol Beverage Employee License. This can be obtained online here: https://oklahoma.gov/able-commission.html
- All volunteers 18 and older must also take the Accelerated Oklahoma Server Training here: https://5-99-accelerated-oklahoma-server-training.com/
- OCC may be able to offer a limited number of positions for minors. Each minor must be accompanied by a parent or guardian.
- Volunteers must be at least 18 to work at BOK and Cox Convention Center, and 21 to operate a register and serve or handle alcohol.
- Volunteers must be at least 16 to work at the Expo Center, and 21 to operate a register and serve or handle alcohol.
- Volunteers must be at least 14 to work at Drillers Games, and 18 to operate a register and serve or handle alcohol.
- All minors working at Drillers Games must have a minor consent form on-file.
- Volunteers must be at least 16 to work at Oktoberfest, and 21 to operate a register and serve or handle alcohol.
- Oktoberfest MAY accommodate younger volunteers to work non-alcoholic beverage stands under adult supervision.
- Minors may only sign up for events if accompanied by an adult that is also volunteering & claiming responsibility for them at the event (parent, guardian, family friend, etc.).
- Volunteers may not sign up for events until all required permits/licenses are obtained, and copies are emailed to secretary@oklahomacompetitivechampions.org
Process of Assigning Volunteers
Each volunteer may sign up for as many events as possible; however, if there are too many volunteers signed up for a particular event, positions may be filled by the following criteria…
- OCC Officers/Board
- Group Leads
- New Volunteers
- Rotation Scheduling
- Primary Account Holders. Priority given using the number of hard to staff events worked for that venue as well as the total number of events worked for that venue.
- “Seconds” on accounts, Priority given to minors volunteering for their own account. Again, priority will be given as stated above using the number of hard to staff events worked and the total events worked. **If openings still exist, it may be possible for more than two volunteers to work for an individual’s account.
- Other criteria may also be taken into consideration, such as compliance with OCC rules and regulations.
The OCC Board will make all reasonable attempts to secure additional stands or back up positions for additional interested volunteers; however, this is not guaranteed.
Cancellations for Events
- No penalty will occur for anyone who commits to volunteer for an event and cancels five days prior to the event.
- Any volunteer who has confirmed and committed to an event but cancels less than 5 days before the event or is considered a “no show” must forfeit the next event they are signed up to volunteer.
- If a volunteer cancels within 24 hours of an event or is a “no show” for an event they have signed up for, they will be charged $75.00.
- Repeated offenses may result in additional penalties set forth by the OCC Board.
- Extenuating circumstances will be handled on a case-by-case basis, the OCC Board will determine if the absence is excusable.
- In the event it is necessary to cancel your attendance, you must do so in writing by contacting the President or another Board Member via email president@oklahomacompetitivechampions.org
Scholarships
- OCC receives donations from each venue for our volunteer services. These donations are determined by either a minimum amount or a percentage of sales if greater than the minimum, plus customer donations.
- These donations are sent in the form of a scholarship to the organization on file for your scholarship recipient.
- Minimum scholarships for BOK Center and Cox Convention Center are currently $80/per person/per event or 10% gross sales from your stand.
- Minimum scholarships for Expo Center are currently 10% of Gross Sales per event (if OCC fills an entire stand), or $7.50/hour/person for non-beer stands and $9.00/hour/person for beer-only stands (whichever is more).
- Minimum scholarships for Drillers games are:
- $50/per person for each event.
- If volunteers are cut prior to or during the 5th inning, the minimum scholarship is $30/per person.
- If the event is canceled more than an hour before report time, no scholarship will be given.
- If the event is canceled at report time or up to 1 hour after, the minimum scholarship is $10/per person.
- If the event is canceled 2 hours after report time, the minimum scholarship is $20/per person.
- If an event is postponed or rescheduled, it will become a double-header (two 7-inning games). The scholarship will increase $20/per person due to the longer event.
- Minimum scholarships for Oktoberfest are currently $10/hour/per person for all coupon, admission, merchandise, and beverage sales locations.
- For hours worked after 4:30 PM on Wed and Thu, or after 6:30 PM on Fri and Sat, minimum scholarships are currently $12.50/hour/per person.
- Once donation payouts are received from the venue, OCC will make every reasonable attempt to process scholarships in a timely manner. Scholarships may take up to 6-8 weeks to process.
Scholarship Distribution
- Volunteers need to ensure that their location of scholarship has either worked with OCC previously or is willing to accept checks from our organization.
- All scholarships must be sent directly to an organization in the name of your child. OCC cannot make payments to individuals or reimburse a volunteer for expenses incurred.
- OCC cannot hold scholarships for volunteers.
- Each organization must have a physical mailing address and monitored email.
- Volunteers are responsible for record keeping of all events and processed scholarships.
- OCC is not responsible for ensuring your scholarships reach your account by a specific due date.
Volunteer Duties
- Complete any required training.
- All volunteers are expected to respect others, work together, and complete ALL duties associated with their assigned position in a timely manner.
- All volunteers are expected to provide the best customer service possible.
- All volunteers are required to follow rules set forth by each venue they are working at.
- Volunteers shall NOT make any social media posts that include pictures or videos of our venues.
- OCC will make every effort to assign the best position/role for each volunteer, but we are not obligated to assign each volunteer the position/role they desire. Volunteers should be open to any duty assigned to them.
- Any violations in this area will be addressed on an individual basis and could result in penalties set forth by the OCC Board.
- A volunteer is NOT an employee of OCC or the venue/event at which they volunteer.
Volunteer Appearance
- Each volunteer should abide by the dress code associated with each venue. These dress codes are outlined as follows:
- BOK/COX – OCC T-Shirt (must be purchased), black dress pants, black socks, and all black, closed toed non-slip shoes (no color/white at all).
- Expo Center – OCC T-Shirt (must be purchased), pants (no holes or tears – jeans are acceptable), closed toed/dark colored/rubber soled shoes. Volunteers will be allowed to wear a plain black t-shirt only if an OCC t-shirt has already been ordered.
- Expo Center Catering Events – Black long sleeve button down shirt, black dress pants, black tie, black, non-slip shoes.
- Drillers Games – White polo (collared shirt – NO T-shirts, tank tops), tan/khaki/or black shorts/capris or tennis skort/flowy shorts (NO spandex, short shorts, athletic shorts, leggings…. Must be at minimum the length of your middle finger), non-slip tennis shoes (no open toed, heels, flip flops, crocs), low socks (no knee high), Drillers hat ($7 – will be provided on the first night and deducted from that shift’s donation). Drillers will provide upon arrival (and must be turned in each night) – Black apron, name tag, timecard. Beards must be covered by a beard net (provided by Drillers), and all visible tattoos must be covered (long-sleeve shirts under the pop or a sleeve type covering are acceptable).
- Oktoberfest – TBD.
- We volunteer in a customer service-based industry. Good hygiene must be observed.
- Each volunteer is responsible for purchasing the required uniform items.
- Violations of dress codes will be addressed on an individual basis. Repeated offenses could cause penalties set forth by the OCC Board.
By signing this agreement, I acknowledge receipt of the Rules of Operation for Oklahoma Competitive Champions Incorporated (OCC).
I have read, understand, and will abide by the Rules of Operation for OCC, and the rules set forth by the governing venues that OCC partners with.
I acknowledge my understanding and agreement that I am volunteering my services at varying venues directly associated with OCC. I understand that I am voluntarily providing my services to OCC and OCC will receive a donation for my services. The donation is governed by the terms of the 501c3 in effect for OCC.
I understand that I am strictly a volunteer of OCC and not an employee of OCC or the varying venues. I also represent that I have not been promised and I am not personally receiving any payment of any kind from OCC for the services I am providing to OCC at the varying venues.
**This release will remain in effect from the date signed through May 1, 2025.
